The challenge
MAC ran on QuickBooks, Zendesk, and MaintainX, but the three didn't talk to each other. Service calls became handwritten notes passed around the office, completed jobs sat unbilled, and AR aged while the team chased paperwork by hand. The work was profitable; the problem was how much leaked out between the field and the invoice.
What we deployed
Built on MAC's existing stack, with a person in the loop before anything posted.
Workflow automations
- Phone calls transcribed and written back to the Zendesk ticket, enriched with QuickBooks customer data and MaintainX parts data
- Technician notes read for recommended repairs, and the follow-up visit scheduled automatically
- Preventive maintenance jobs scheduled proactively
- Invoices still unpaid at 40 days flagged for collection
New reports
- Completed but unbilled work
- AR with work-order context
- Estimates mapped to QuickBooks
- Estimate and quote data-quality audits
- Preventive maintenance tracker
- Invoices missing a PO
The results
Four weeks in, on the systems they already had

In their words
βI've been really impressed with their ability to understand our operational pain points and the toolsets that we're using, and how we can quickly implement and develop new AI tools that sit on top of the things we're already using. The time to value and ROI, and just seeing the results from these new AI solutions, has been super awesome.β
How it rolled out
The same three-step rollout we run everywhere.
Week 1
Map it
A day on site and a documented assessment, then API access to the tools you already run.
Weeks 2 to 3
Dry runs
Workflows run in shadow mode on your live data, so you can check the output before anything acts.
Week 4
Live
Automations and reports move into production, with a person in the loop where it matters.
