Putting AI to Work on Top of MaintainXTurn work orders, tech notes, and assets into scheduled revenue
MaintainX is where your work actually gets written down, and most of it just sits there. Connect it to Aries through the MaintainX API and that history starts earning. Vague tech notes turn into booked follow-ups, preventive maintenance gets scheduled before the phone rings, and finished jobs flow into QuickBooks so they actually get invoiced.
The short version: your work orders, assets, and technician notes already live in MaintainX, and it has a public API (there's no official MCP server yet, only third-party wrappers on that same API). So software like Aries can connect straight to it and act on what's there. Vague field notes turn into booked follow-up jobs, the next preventive maintenance visit gets scheduled before the phone rings, and finished jobs flow into QuickBooks and your CRM so they get invoiced and matched to the right customer without anyone re-keying a thing.
If you run a service business, MaintainX is probably where the work actually gets written down. Technicians open work orders, log what they found, snap a few photos, and mark parts against an asset. Over a year that piles up into a detailed history of every machine you touch and every customer you serve. Trouble is, most of it just sits there. A note gets read once and forgotten, a follow-up never gets booked, and the pattern that would tell you what to schedule next stays buried.
That's the kind of work AI is good at, as long as it can reach your data reliably. Before we get to the examples, let's answer the question we hear more than any other.
Does MaintainX have an MCP server?
No, at least not an official one. As of late 2026 there's no first-party MaintainX MCP server. A few third-party platforms (Composio, Zapier, viaSocket) do expose MaintainX over MCP, but each one is really a wrapper around the same thing underneath, the public MaintainX API. So they carry that connector's rate limits and timeouts, which is fine when you're poking at your data from a chat window and less fine when you're running the same job every morning.
Aries skips the middle layer and talks to the MaintainX API directly. We run it in production today, so the automations below read and write your live work orders, not a stale export. If you want the longer argument for why a direct API connection holds up where a chat connector gives out, we made it in why a chat window isn't the same as running your business on AI.

Aries reads your MaintainX work orders and asset history, then acts on what it finds.
Once MaintainX is connected, most of what follows comes down to describing the workflow you want and letting it run, with a person signing off before anything posts. These are the ones that tend to pay for themselves first.
Turn vague tech notes into booked follow-up work
Technicians are there to fix what's in front of them, not to write sales copy. So a work order note says “belt worn, recommend replace next visit” or “found second unit low on refrigerant, customer wants a quote,” and then it vanishes into a closed ticket. Every one of those is high-margin follow-up you've already earned, because the customer trusts you and you're standing in their building. Someone just has to catch it and put it on the schedule.
Aries reads the notes on every closed work order, pulls out the recommended repairs and the quote requests, and drafts the follow-up for you, a new work order or an estimate with the context from the first visit already attached. So that revenue stops depending on whether a coordinator happened to scroll to the bottom of a ticket. It was one of the first things we switched on at MAC Technologies, and it's close to free money, because the hard part, the diagnosis, is already done.
See the next job coming before anyone asks
A lot of your work is predictable if someone's watching the history. Quarterly PMs, an annual backflow test, a filter change on a set interval, a compressor due for service based on runtime. MaintainX has all of it in the asset record. What it won't do on its own is tap you on the shoulder at the right moment for the right customer.
Aries' Company Brain handles that part. It reads asset history and service dates out of MaintainX, works out what's coming due, and drafts both the work order and the outreach, so you can book the visit before the customer thinks to call. Recurring compliance work like backflow testing is the clearest case. It runs on a fixed cadence, it's easy to let slide, and staying ahead of it protects the revenue and the relationship at the same time. Scheduling PMs proactively was one of the automations MAC leaned on hardest.
Make your MaintainX data pull its weight.

The stretch between finishing a job and getting paid for it is where a lot of profit leaks out. A job wraps up in MaintainX, the paperwork lands in someone's pile, and the invoice goes out days or weeks late, if it goes out at all. Then it sits there aging while nobody's watching the clock.
Aries links MaintainX to QuickBooks so a completed work order becomes an invoice right away, parts and labor already mapped. Then it keeps an eye on your receivables and flags anything past your terms, so an account that hits 40 days without paying gets pulled into collections instead of slipping past you. At MAC, closing that field-to-invoice gap cut unbilled work by 70% and improved DSO by 15%. If collections is the part that keeps biting you, we go deeper on it in accounts receivable for contractors.
Pull customer and lead data from your CRM
A work order is far more useful when it carries the whole picture of the customer, their contract terms, the gear you've sold them, the last couple of conversations, who actually signs off. That context normally lives in your CRM rather than MaintainX, and copying it over by hand is exactly the sort of thing that gets dropped on a busy day.
Aries connects to whatever CRM you already use and pulls that context in to match the work order, so the crew knows who they're walking in to serve and the office isn't retyping the same customer into a second system. New leads and account changes flow through without the double entry, and the work order shows the current picture instead of a snapshot from the last time someone synced.
Update MaintainX from the calls and emails that come in
A lot of what happens in a day never reaches MaintainX, because it comes in as a phone call or an email. A customer rings up about a fault, describes the noise it's making, and mentions they'd like the second unit looked at while you're there. Unless someone stops and types all that into the work order, it lives in one person's head until it doesn't.
Aries can sit on those inbound calls and emails and write the parts that matter back to the right MaintainX record on its own. At MAC, calls were transcribed and posted to the ticket, filled out with the matching QuickBooks customer and MaintainX parts data, so the record was complete without anyone walking a handwritten note across the office. What used to evaporate somewhere between the phone and the system now lands where the next person can act on it.
What this looked like at MAC
None of this is theoretical. When MAC Technologies came to us, they were running QuickBooks, Zendesk, and MaintainX, and none of the three talked to each other. Service calls became handwritten notes, finished jobs sat unbilled, and receivables aged while the team chased paper by hand. Aries went in on top of the exact stack they already had and took over the repetitive shuffling between those systems. Four weeks later it was live, with follow-up work booked off tech notes, PMs scheduled ahead of time, invoices going out on schedule, and phone calls landing in the ticket by themselves. Unbilled work dropped 70%, with no new back-office hire.
It came together in weeks instead of months because the MaintainX API was already there to build on, and the same goes for QuickBooks and most CRMs. Once the connections are live, each of these is a workflow you describe and turn on, not a software project you wait around for.
